Escrow-led accounting with Real Estate ERP in Dubai

Off-plan buyers in Dubai pay into project escrow accounts under Dubai Law No. 8 of 2007, and money leaves those accounts only against construction progress. RealMake ERP mirrors that rule in the books. Each project in Business Bay, Dubai Hills or Jumeirah Village Circle gets its own escrow account record, and receipts for units registered in Oqood reconcile to bank statement lines. When a contractor certificate is approved, the system shows which escrow account funds it and what balance remains. Consultants fly in from Bengaluru for workshops and cutover, and remote support covers the Dubai working week.

Subcontractor accounts

Subcontractor accounts

Main contractors and direct subcontractors each have running accounts of work valued, paid, retained and recovered.

Retention release

Retention release

Retention on each contract is tracked to practical completion and the end of the defects period, then released on approval.

VAT returns

VAT returns

Input and output VAT at 5% is gathered per tax registration, with each figure traceable to the invoice behind it.

Project bank match

Project bank match

Statement lines for every project account are matched to receipts and payments, with exceptions listed for follow-up.

Audit log

Audit log

Each change to a posted entry records who made it and when, which shortens questions from auditors and escrow banks.

Contractor payments that respect the escrow rules

In Dubai, a contractor's payment often depends on two approvals: the consultant's progress certificate and the escrow bank's release. RealMake ERP records both steps. The quantity surveyor enters work done, the system deducts retention and advance recovery, and finance sends the release request with the certificate attached. The payment then posts against that same certificate, keeping the trail from site measurement to bank debit in one place.

  • Consultant approval captured on each certificate
  • Retention and advance recovery deducted for you
  • Release requests carry their supporting papers
  • Payment posted against the certificate it settles

A property back office for Dubai

Dubai Land Department and its regulator RERA set the rules for off-plan projects. Sales are registered in Oqood, tenancy contracts in Ejari, and buyer payments go to escrow under Dubai Law No. 8 of 2007. The ERP holds the Oqood and Ejari references next to the income they relate to. VAT is 5% and corporate tax 9%, and the treatment your tax advisor chooses for each unit type is applied exactly as set. E-invoicing begins on 1 January 2027 for groups at or above AED 50 million in revenue, and on 1 July 2027 for everyone else.

Frequently Asked Questions

How does RealMake ERP treat escrow under Dubai Law No. 8 of 2007?

Each project's escrow account is set up as its own bank account in the books. Buyer receipts land there, withdrawals are linked to approved certificates, and the balance is reconciled to the escrow bank's statement.

Can we keep Oqood registration numbers against buyer receipts?

Yes. The Oqood number sits on the unit's sale record, and every receipt posted for that unit carries it, so the escrow reconciliation and the audit file both show which registered sale a payment belongs to.

Which e-invoicing date applies to a Dubai developer?

If group revenue is AED 50 million or more, the go-live date is 1 January 2027. Below that, an accredited service provider must be appointed by 31 March 2027, and e-invoicing starts on 1 July 2027.

Do your consultants come to our Dubai office?

Yes, for the stages that need a room together: design workshops, training and go-live. Symake has no GCC office, so the team flies in from Bengaluru, and routine support is given remotely.

How do you handle variation orders that change a contract value?

A variation is entered against the contract with its cost and reason. Once approved, it raises the contract value and the commitment, so later certificates are checked against the revised figure.

Can the ERP calculate cost to complete for each tower?

It brings together the approved budget, committed contracts, approved certificates and the project team's remaining estimate per cost code. The forecast final cost for each tower follows from those figures.

Will RealMake ERP replace our current accounting package?

In most cases it does, because general ledger, payables, bank accounts and fixed assets are all included. Historic years can stay in the old package for reference while open balances move across.

How is the audit trail protected?

Posted entries cannot be silently changed. Corrections are made by reversal or by a logged edit that records the user, the time and the old value, so auditors can follow every step.
