Real Estate CRM & ERP in Saudi Arabia, region by region

Saudi developer groups rarely sell in one city. A group may launch villas in Riyadh, towers in Jeddah, apartments in Dammam and Al Khobar, and smaller projects in Makkah or Madinah, with interest growing around the NEOM region. Each region has its own brokers, buyer habits and seasons, yet the rules from REGA, ZATCA and the Wafi programme are national. RealMake lets every regional office run its sales on the shared buyer file while a central finance team posts receipts, raises invoices and tracks escrow for every project. Group management sees bookings and cash by region without merging spreadsheets.

Saudi handoffs RealMake keeps in order

Each one tied to a rule or a team that depends on it

FAL check

FAL check

Before a broker's deal is accepted, the FAL licence number is recorded, so commission is never owed to an unlicensed party.

Wafi escrow

Wafi escrow

Receipts for off-plan projects are tagged to the Wafi escrow account and summarised per project for the finance team.

FATOORA invoices

FATOORA invoices

Installment invoices are created as UBL XML with stamp and QR code, cleared or reported, and saved on the buyer file.

Arabic fields

Arabic fields

Invoices and receipts carry the Arabic fields ZATCA requires, while your staff work on English screens.

Transaction tax

Transaction tax

The 5% Real Estate Transaction Tax on each disposal is recorded on the sale, with the payment reference kept.

Ejar leases

Ejar leases

Units you keep and rent out hold the Ejar registration on the lease, with rent posting to the same ledgers.

Regional pipeline

Regional pipeline

Finance sees each region's open bookings and expected installments to plan cash across the whole group.

Commission payables

Commission payables

Broker and agent commission moves to payables only when the booking and payment conditions you set are met.

Handover transfer

Handover transfer

When a unit is complete and paid, it passes to after-sales with the buyer, documents and any final balance.

One buyer file that answers to national rules

A buyer in Dammam books an off-plan apartment through a licensed broker. The broker's FAL number is checked at the lead stage. The deposit goes into the project's Wafi escrow account and is posted against it. Each installment produces a FATOORA-ready invoice with Arabic fields. When the sale completes, the transaction tax is noted and the commission becomes payable. Every step sits on the same file.

  • Deposits posted against Wafi escrow
  • FATOORA-ready invoice for each installment

A Kingdom-wide rollout plan

Phased by region, with one design agreed at the start

Group design

Head office, finance and one regional sales lead agree statuses, approvals and the ledger structure.

First region

The busiest region goes live first, often Riyadh or Jeddah, so the design is tested on real volume.

ZATCA link

Each company's FATOORA integration is set up and tested before invoices are issued from RealMake.

Data migration

Buyers, plans, receipts and escrow balances move from spreadsheets or old systems, region by region.

Regional training

Teams in each region are trained in English by visiting consultants, with recorded sessions for branches.

Further regions

Other regions join in turn, with remote support from Bengaluru during each first month-end.

From booking to books in Saudi Arabia

The Real Estate General Authority (REGA) regulates the sector nationally, and brokers and advertisers need a FAL licence. Off-plan sales follow the Wafi programme with escrow accounts, leases are registered on Ejar, and property disposals carry the 5% Real Estate Transaction Tax. VAT is 15%, and RealMake applies it to each unit type as your tax advisor sets. FATOORA phase 2 requires UBL XML, a cryptographic stamp, QR codes, real-time clearance of B2B invoices and reporting of simplified invoices within 24 hours. Wave 25, covering VAT-subject revenue above SAR 187,500 in any year from 2022 to 2025, must integrate by 1 February 2027.

Why Saudi groups put sales and finance on one record

When each region keeps its own sales tool, head office learns about problems late. RealMake gives regional teams speed and gives the group one audit trail, one set of compliance steps and a cash view that includes every live booking.

Frequently Asked Questions

Can one RealMake setup serve offices in Riyadh, Jeddah and the Eastern Province?

Yes. Each regional office works on its own projects, and the central finance team sees all of them. Group companies keep separate books while management sees one combined view.

How does RealMake check FAL licences for Saudi brokers?

Each broker profile holds the FAL licence number and expiry date. A deal cannot be linked to a broker without it, and commission cannot move to payables if the licence is missing.

Which FATOORA wave applies to our group?

Wave 25 covers businesses with VAT-subject revenue above SAR 187,500 in any year from 2022 to 2025, with integration due by 1 February 2027. Your tax advisor confirms your wave, and we set up the link to match.

How is the Real Estate Transaction Tax recorded?

The 5% tax on each disposal is recorded on the sale with its payment reference. Finance can list disposals and the tax paid by project or region.

Can we run projects in Makkah and Madinah too?

Yes. Projects in the holy cities sit in the same system, with eligibility notes for buyers where ownership is restricted. Workshops for those teams are held in Jeddah, Riyadh or online.

How does finance follow escrow money for off-plan launches?

Each off-plan project links to its escrow account. Receipts are tagged to it, and a project summary shows what has reached escrow, what is due from buyers and what is waiting for the bank.

Can head office forecast cash across Saudi regions?

Yes. Expected installments from booked units and late-stage reservations roll up by region and company. Finance compares them with actual receipts to plan construction payments.

Does Symake have an office in Saudi Arabia?

No. Symake delivers from Bengaluru, with consultants flying in for workshops, training and go-live. Support is remote, and India's working day overlaps most of the Saudi working week.
