Where a Property Management System in Dubai earns its keep

Jointly owned towers in Dubai Marina and Business Bay share a lot of equipment: lifts, chillers, pumps, fire panels and car park fans. Mid-rise blocks in Jumeirah Village Circle and Arjan have the same needs on a smaller budget. RealMake gives each building a cost centre that matches its Mollak budget lines, so every invoice from a contractor lands on the right line. Facilities staff see work orders by tower and floor. Board members of the owners association can follow spend against budget during the year instead of waiting for the annual report.

What Dubai community managers use each week

Jointly owned buildings, run from one set of records

Budget builder

Budget builder

Draft next year's service charge budget line by line, compare it with this year's spend and keep notes for the RERA review.

Unit share split

Unit share split

Each unit's share of the budget follows its participation quota, and the split updates when a unit's area is corrected.

Mollak reference

Mollak reference

Invoices and receipts keep the Mollak reference, so your accounts team can match what owners see on the portal.

Work order desk

Planned visits

In a jointly owned building, owners pay for what the budget says and expect to see where it went. RealMake starts with the approved budget, splits it across units and records every contractor invoice against its line. Variances show as the year goes on, so the manager can explain an overspend on lifts in March rather than in December. When the next budget is drafted, last year's actuals are already sorted line by line.

Buildings and communities in Dubai

Dubai Land Department (DLD) and RERA oversee the market. Under Law 6 of 2019 on jointly owned property, owners associations and registered management companies run shared buildings, and service charges are set against the RERA service charge index and invoiced through Mollak. RealMake keeps the budget, unit shares and Mollak reference together, so what owners see on Mollak matches your books. VAT is 5%, and the treatment for each charge type follows your tax advisor. E-invoicing applies from 1 January 2027 for businesses with revenue of AED 50 million or more and from 1 July 2027 for the rest.

Frequently Asked Questions

Does RealMake connect to Mollak?

RealMake keeps the Mollak reference on each service charge invoice and receipt so your team can match records. How data moves between the two depends on the access DLD gives your company, which we review during setup.

Can we draft a budget against the RERA service charge index?

Yes. You build the budget line by line next to last year's actual spend. Notes and supporting files stay on each line, ready for the review and for owners who ask how a figure was set.

How are general assembly meetings recorded?

Notices, the attendance list, proxies, votes and signed minutes are filed against the association. Decisions that need action, such as a new contract, can become tasks for the manager.

Can one company manage several associations in Business Bay?

Yes. Each association has its own budget, bank details and reports. Staff can be limited to certain buildings, while senior managers see all of them.

How do chilled water recharges work in Dubai Marina towers?

Readings are entered or imported per unit for each period. RealMake works out the recharge from the tariff you set and adds it to the next invoice run for that unit.

Can contractors update work orders themselves?

Contractors get a limited login that shows only their jobs. They add notes, photos and time spent, and the supervisor signs off before the job closes.

Will owners see their share of each budget line?

Yes. The owner view shows the building budget, their unit's share and what has been spent so far, so questions before the general assembly can be answered from the same figures.

Does Symake have staff in Dubai?

No. Symake works from Bengaluru, India. Consultants travel to Dubai for workshops, training and go-live, and support is handled remotely during hours that overlap the UAE working day.
