Multi-region Retail ERP and Inventory Management in Saudi Arabia

Saudi store chains often spread across three regions or more. A central hub in Riyadh, a western hub in Jeddah serving Makkah and Madinah, and an eastern hub in Dammam and Al Khobar is a familiar pattern, with new sites appearing in the NEOM region. Each hub has its own stock, its own sales pattern and its own season. Symake lets each warehouse supply its own branches, moves stock between hubs when one runs short, and values everything in riyals in one ledger for the board and auditors. Consultants fly in to Riyadh or Jeddah for workshops, and support is remote.

Stock features for chains across the Kingdom

From the eastern region to the Red Sea coast

Hub structure

Hub structure

Set up regional warehouses and assign branches to each, so replenishment comes from the nearest hub.

Hub balancing

Hub balancing

When one hub runs low and another has surplus, the system suggests a transfer before a new purchase.

Regional seasons

Regional seasons

Use different stock levels for western branches during Ramadan, Hajj and Umrah than in other regions.

Central buying

Central buying

Combine needs from every hub into supplier orders, then have suppliers deliver to each hub directly.

Cost tracking

Cost tracking

Carry landed cost into transfers, so a branch in Dammam and one in Jeddah both show true item cost.

Expiry by region

Expiry by region

Send the shortest-dated lots to the hubs and branches that sell those items fastest, and cut write-offs.

Rolling counts

Rolling counts

Plan counts across all regions on one calendar, with results reviewed by regional managers.

Regional shrinkage

Regional shrinkage

Compare stock losses across hubs and branches, then focus checks and recounts where they matter most.

Kingdom reports

Shipping stock from Riyadh to every branch in the Kingdom wastes time and money. Symake lets you set a home hub for each branch, so a store in Al Khobar is supplied from the eastern warehouse and one in Madinah from the western one. If a hub runs low, the system checks the other hubs before suggesting a purchase. Transfers between hubs carry their cost, so margins stay accurate in every region.

  • A home hub set for each branch
  • Other hubs checked before buying more
  • Transfer cost carried with the stock
  • Regional margins based on true cost

Stock control for retailers in Saudi Arabia

VAT in Saudi Arabia is 15%, and ZATCA runs the FATOORA e-invoicing programme. Phase 2 is rolling out in waves. Wave 25 includes businesses whose VAT-subject revenue passed SAR 187,500 in any year from 2022 to 2025, and they must integrate by 1 February 2027. Invoices need UBL XML, a cryptographic stamp and a QR code. B2B invoices are cleared in real time, and simplified invoices from stores are reported within 24 hours. Symake applies these rules the same way in every region, and invoices and receipts carry the Arabic fields ZATCA requires.

Frequently Asked Questions

Can we run warehouses in Riyadh, Jeddah and Dammam in one system?

Yes. Each warehouse is a location with its own branches assigned. Stock, transfers and valuation are tracked per warehouse, and head office sees all of them in one view.

Where does Symake hold workshops in the Kingdom?

Consultants fly in to Riyadh or Jeddah for workshops, training and go-live, and some sessions run online. Symake has no office in Saudi Arabia, and support is remote.

Which FATOORA wave applies to us?

It depends on your VAT-subject revenue. Wave 25 covers businesses above SAR 187,500 in any year from 2022 to 2025, with a deadline of 1 February 2027. We check your status early in the project.

Can we stock branches in the NEOM region?

Yes. New branches can be added as locations at any time and assigned to a hub. Longer lead times can be set for distant branches, so replenishment allows for travel time.

How are stock transfers between our Saudi companies handled?

When hubs belong to different companies, a transfer can create the matching sale and purchase between them. Stock moves, and each company's books record the transaction.

Can western branches use different season settings?

Yes. Branches serving Makkah and Madinah can use their own stock levels during Ramadan, Hajj and Umrah, while other regions keep their normal levels.

Do receipts include Arabic?

Yes. Invoices and receipts carry the Arabic fields ZATCA requires. Training, documentation and support from Symake are delivered in English, by consultants who fly in or join online.

How do we compare shrinkage between regions?

The shrinkage report groups write-offs and count differences by region, hub and branch. Regional managers see their own figures, and head office compares all regions side by side.
