What Odoo ERP implementation in Tamil Nadu changes first

A group with depots in Madurai, Salem and Tiruchirappalli often finds that each depot's stock register disagrees with head office in Chennai by the end of the quarter. The move to Odoo makes every depot a location in one database, so a transfer out of Salem is a transfer into Madurai in the same entry. Receivables spread over hundreds of customer accounts are aged automatically, and collection staff get a daily list instead of a monthly printout. Accounts teams who expect the books to match the auditor's view can trace every ledger line back to its invoice. Symake decides the order of these changes with your department heads.

From the accounts desk to the owner's morning report

Collections list

Collections list

Overdue invoices are sorted by customer and age each day, so the collection team calls the right people first instead of working from memory.

Credit holds

Credit holds

A customer past their limit, or overdue beyond the agreed days, is held at order stage, and only a named manager can release it.

Single ledger

Single ledger

Depot sales and expenses post to one ledger with depot tags, so district profit no longer needs a separate sheet from each manager.

Bank reconciliation

Bank reconciliation

Statement lines from each bank are matched against receipts and payments, leaving only the exceptions for accounts to look at.

GSTR data

GSTR data

Outward and inward supplies are captured with GSTIN and HSN on the invoice, giving clean data for your monthly GST returns.

Purchase approvals

Purchase approvals

Requests from depots route to the purchase head above a set value. Each approval is recorded with the approver's name and time.

Receipt matching

Receipt matching

Vendor bills are checked against what the depot actually received, and short supplies are flagged before the bill is paid.

Depot stock

Depot stock

Each depot shows one on-hand figure. Counts are entered in Odoo, and any difference is posted with a reason the auditor can read.

Staff payroll

Staff payroll

Attendance from every district feeds one payroll run, with salary slips and statutory deductions prepared from the same records.

Which records move across and which stay behind

Tamil Nadu accounts teams are careful about what reaches the new books, and so are we. Customer and vendor masters, item codes, open invoices, unpaid bills, depot stock as counted on the cut-off date and the trial balance all come across. Old vouchers stay in the previous system, read-only, for the auditor. Each import is reconciled to a total your accountant has already signed.

  • Trial balance signed before it is loaded
  • Depot stock counted on the cut-off date
  • Open customer invoices carried with due dates
  • Old vouchers kept read-only for audit

How the switch runs across districts

Six steps from the first meeting to a steady month-end

Depot visits

A consultant visits key depots to see how stock, billing and collections work on the ground.

Signed scope

The written design lists each change by department and is signed before any setup begins.

Pilot depot

One depot goes live first, so problems are fixed before every district switches over.

Tamil training

Depot and accounts staff are trained in Tamil on their own screens with their own data.

District rollout

Remaining depots move in planned groups, each with opening stock counted on the day.

Close review

We sit with your accountant through the first three month-end closes and note what improved.

What changes in Tamil Nadu when the ERP goes live

Tamil Nadu groups often run from Chennai with depots reaching Coimbatore, Madurai, Tiruchirappalli and Thoothukudi. Symake has carried out ERP rollouts for firms in education, FMCG, hotels, real estate, distribution and logistics, healthcare, retail and manufacturing, and the department changes here hold for each. Invoices follow Tamil Nadu GST, e-way bills are generated above Rs 1 lakh within the state and above Rs 50,000 for inter-state movement, and e-invoicing is on above Rs 5 crore turnover. Staff are trained in Tamil and can ask questions in the language they prefer.

Frequently Asked Questions

Should every Tamil Nadu depot go live on the same day?

Rarely. We usually start with one pilot depot near head office, fix what comes up, then move the remaining districts in groups. Each group starts with a fresh stock count on its own cut-off date.

Which e-way bill limits apply to our Tamil Nadu depot transfers?

The threshold is set per state. Intra-state movements above Rs 1 lakh and inter-state ones above Rs 50,000 prompt an e-way bill, which is generated from the invoice or the transfer itself.

Our receivables run into hundreds of accounts. Will they all come across?

Yes. Every open invoice moves with its date, due date and balance, so ageing in Odoo matches what you had on the cut-off date. Fully settled invoices from earlier years stay in the old system.

Can depot managers see only their own depot?

Yes. Access rules limit each manager to their depot's stock, sales and customers, while head office and the owner see every district together.

What does the accounts head do differently after go-live?

Less re-keying and less chasing. Bank lines match most receipts on their own, depot entries arrive the same day, and GST data is ready from the invoices. Time goes into checking exceptions instead of building sheets.

How do we handle a stock count that does not match Odoo?

Enter the count, review the difference and post it with a reason. In the first 90 days we help trace each gap to its cause, usually an unrecorded transfer or a late receipt.

Does Symake visit depots outside Chennai?

Yes, for design and go-live at the larger depots. Training and support for the rest run online in Tamil, with screen sharing so staff can follow on their own screens.

Which Odoo plan does a multi-depot Tamil Nadu group need?

One company with many depots works on Standard. Several legal entities in one database, or Studio changes, need the Custom plan. Custom code is not possible on Odoo Online, so we may suggest Odoo.sh.
