Odoo ERP implementation in Kerala across sister companies

A Kerala group with its head office in Kochi, a sister company in Kozhikode and a branch in Thrissur usually keeps three Tally files and a WhatsApp group to tie them together. The move to Odoo replaces that with one database where each company keeps its own GSTIN and books, while the owner sees all three on one screen. Accounts stop re-keying inter-company bills, because a sale from one company creates the matching vendor bill in the other. Godown stock at each branch is counted in Odoo, so the figure the branch manager quotes is the same one the auditor sees. Symake writes down which of these changes your group needs before any setup begins.

What each department does differently

Nine changes Kerala teams notice in the first month

Accounts team

Accounts team

One ledger per company replaces separate files. Bank statements import daily and most lines match against open invoices without typing.

GST returns data

GST returns data

Sales and purchase entries carry GSTIN and HSN from the start, so GSTR-1 data comes from Odoo rather than a sheet built at month-end.

Sales desk

Sales desk

A quote becomes an order and then an invoice without being retyped. Customers over their credit limit are flagged before confirmation.

Purchase approvals

Purchase approvals

Orders above a value you set wait for a manager. A promoter in the Gulf can approve on the Odoo app, and the branch sees it at once.

Vendor bills

Vendor bills

Each bill is matched to the purchase order and the goods actually received, so accounts pays only for what the godown counted in.

Godown stock

Godown stock

Every godown in every district has its own location in Odoo, giving one stock figure per place instead of one guess for the group.

Payroll and HR

Payroll and HR

Attendance, leave and salary sit in one module. PF and ESI deductions come from the employee record, not from a copied sheet.

Owner dashboards

Owner dashboards

Receivables, cash and stock for every company appear on one screen that a promoter abroad can open on a phone at any hour.

Inter-company entries

Inter-company entries

When one sister company bills another, Odoo can raise the matching purchase entry itself, so the two sets of books agree.

Records that move across from the old system

Not everything in your old Tally files should come to Odoo. We move customer and vendor masters, the item list with units and HSN codes, open invoices on both sides, and opening balances for each company as on the cut-off date. Closed years stay in Tally for the auditor. Each list is checked by the person in your team who owns it before it is loaded, so errors are fixed at the source.

  • Duplicate masters weeded out ahead of import
  • Open receivables and payables carried across
  • Opening balances agreed with your auditor
  • Closed years left in Tally for reference

Who does what during the switch

Six stages, each with a named owner on both sides

Process notes

Our consultant sits with each department head and writes down how work moves today.

Written design

A fixed-scope document lists every change, and you sign it before setup starts.

Data cleaning

Your accounts and godown staff clean masters while we prepare the import templates.

Malayalam training

Branch staff learn their own screens, in Malayalam, using their own items and customers.

Go-live

You pick a cut-off date. Opening balances are loaded and old entries stop that day.

First 90 days

A named support owner checks month-end close, stock counts and reconciliations with you.

What changes in Kerala when the ERP goes live

Kerala groups often spread across Kochi, Thrissur, Kozhikode and Thiruvananthapuram, and the ERP has to treat each branch as its own place while keeping one set of group numbers. Symake has run rollouts for businesses in real estate, manufacturing, retail, healthcare, distribution and logistics, education, FMCG and hotels, and the department changes described here apply to all of them. Invoices follow Kerala GST, e-way bills are raised above the Rs 50,000 limit within the state and across it, and e-invoicing switches on once turnover passes Rs 5 crore. Training is in Malayalam for branch teams.

Each district branch set up as its own location
E-way bills raised from the invoice above Rs 50,000
E-invoicing on once turnover crosses Rs 5 crore
Malayalam sessions for branch and godown staff

Frequently Asked Questions

Which records from our Tally files come across to Odoo?

Customer and vendor masters, items with HSN codes, open invoices and bills, and opening balances for each company as on the cut-off date. Closed financial years usually stay in Tally, where your auditor can still open them.

Can each Kerala sister company keep its own GSTIN in one database?

Yes. Each company in Odoo holds its own GSTIN, ledger and invoice numbering. Running several companies in one database needs Odoo Enterprise on the Custom plan, and we confirm the plan with you before the design is signed.

How long before our month-end close gets faster?

Most teams feel it by the second or third close after go-live, once bank reconciliation is daily and vendor bills are matched to receipts as they arrive. We review each close with your accountant during the first 90 days.

Will our Thrissur and Kozhikode branch staff need to come to Kochi for training?

No. Our trainers can run sessions at the branch or online, in Malayalam, using that branch's own customers and items. Staff practise on a test copy before the cut-off date.

What does the owner see on the dashboard after go-live?

Cash and bank balances, receivables by age, today's sales and stock value per godown, for each company and for the group. The same screens open on the Odoo mobile app for promoters who live outside Kerala.

Do we have to stop billing on the day we switch?

No. We choose a cut-off date, usually a month-end. Billing continues in the old system up to that date and starts in Odoo the next morning, with opening balances already loaded.

Can we use Odoo Online if we need changes to screens?

Odoo Online allows no custom code. Small field changes can be done with Studio, which needs the Custom plan. If your design needs code, we suggest Odoo.sh or your own server and say so in writing.

How do we know the rollout in Kerala actually worked?

Three signs: month-end closes in fewer days, godown stock counts match the Odoo figure, and your accountant spends less time on manual reconciliations. We agree these checks with you at the start and review them at day 90.
