Regional FMCG ERP, Billing, Inventory and Distribution in Saudi Arabia

Saudi FMCG distribution is regional. A brand may bill from Riyadh, run a western depot in Jeddah for Makkah and Madinah, serve the Eastern Province from Dammam and Al Khobar, and add routes towards the NEOM region as demand grows. Each region has its own routes and customers, yet finance needs one picture of tax, stock and money owed. SalesMake keeps every regional depot, invoice series and credit account in one company, so cleared invoices, stock and outstanding roll up for finance. Consultants fly in from Bengaluru for workshops in Riyadh or Jeddah, and support continues remotely.

Nine features for Kingdom-wide distributors

From regional depots to one set of cleared invoices

Regional depots

Regional depots

Riyadh, Jeddah and Dammam depots each hold their own stock, routes and staff, all under one company.

Invoice clearance

Invoice clearance

Every B2B invoice from any region is sent for ZATCA clearance and comes back with its stamp and QR code.

Simplified reporting

Simplified reporting

Consumer-type invoices from all depots are reported to ZATCA within 24 hours, without manual uploads.

Arabic documents

Arabic documents

Tax invoices and receipts carry the Arabic fields ZATCA requires, while your team works on English screens.

Regional transfers

Regional transfers

Send stock from Riyadh to Dammam or Jeddah with transfer notes, keeping batch numbers and expiry dates.

Excise items

Excise items

Sweetened and energy drinks carry their excise setup on every invoice, wherever in the Kingdom they are billed.

National chains

National chains

A hypermarket chain buying in three regions has one account and one limit, with deliveries billed locally.

Regional collections

Regional collections

Each region's reps record collections in the app, and finance sees the national position the same day.

Region dashboards

Region dashboards

Compare sales, stock cover and overdue balances by region to see where action is needed first.

Many regional depots, one set of books

Many Saudi distributors bill from Riyadh, Jeddah and Al Khobar under the same company. When each region uses its own tool, invoice numbering, Arabic fields and clearance can drift apart, and finance ends up reconciling three versions of the truth. SalesMake runs all regions on one e-invoicing setup and one double-entry ledger, so the VAT position, stock value and receivables stay consistent across the Kingdom.

  • One e-invoicing setup for all regions
  • Invoice series kept for each depot
  • Stock value consistent across regions
  • National receivables in a single view

Six stages from Riyadh to every region

Central design in Riyadh or Jeddah, then region by region

Design

Consultants fly in to agree company structure, depots, price lists and credit rules with head office.

ZATCA setup

Invoice units for each region are configured and tested for clearance and reporting before go-live.

First region

One region, often the head-office depot, goes live first so the process is proven close to home.

Next regions

Jeddah, Dammam and other depots follow, each with a stock count and loaded balances.

Western staff

Teams serving Makkah train in Jeddah or online, and Madinah teams in Jeddah, Riyadh or online.

Support

Remote support from Bengaluru covers all regions during hours that overlap the Saudi week.

Billing and stock rules in Saudi Arabia

Across Saudi Arabia, VAT is 15% and ZATCA runs both tax collection and FATOORA e-invoicing. Businesses join phase 2 in waves; wave 25 takes in those with VAT-subject revenue above SAR 187,500 in any year from 2022 to 2025, and its integration deadline is 1 February 2027. Phase 2 invoices are UBL XML files with a cryptographic stamp and QR code, B2B invoices are cleared in real time, and simplified invoices are reported within 24 hours. Arabic is required on tax invoices, and excise applies to some goods such as sweetened and energy drinks.

Bring every Saudi Arabia depot onto one system

Tell us where your depots are and which ZATCA wave applies, and we will outline the rollout.

Frequently Asked Questions

Can depots in Riyadh, Jeddah and Dammam run on one system?

Yes. Each depot keeps its own stock, routes and users, and all of them share items, customers and the ledger, so head office sees a national position at any time.

Do all Saudi regions share one ZATCA setup?

Yes. E-invoicing is configured once for the company, with invoice units per depot where needed. Every region clears B2B invoices and reports simplified invoices the same way.

How are Makkah and Madinah teams trained?

Non-Muslims cannot enter Makkah, so Makkah teams are trained in Jeddah or online. Madinah teams can join sessions in Jeddah, Riyadh or online, whichever is easier.

Can a national chain have a single credit limit?

Yes. One account with one limit can cover deliveries in several regions, so a chain cannot go past its agreed exposure by ordering from a different depot.

Can routes towards the NEOM region be added?

Yes. Any region can have its own depot or routes. Reps in remote areas use the app, which is built for weak coverage and syncs when signal returns.

How do we know which FATOORA wave applies to us?

Waves are set by VAT-subject revenue. Wave 25 covers revenue above SAR 187,500 in any year from 2022 to 2025, with integration due by 1 February 2027. Your adviser confirms your wave.

Can stock move between Saudi regions?

Yes. Inter-region transfers move stock with batch and expiry details intact, and the receiving depot confirms the goods before they can be sold.

Is there a Symake office in Saudi Arabia?

No. Symake has no GCC office. Its consultants work from Bengaluru and fly in for workshops and go-live, while support is remote with hours that overlap the Saudi working week.
