FMCG ERP, Billing, Inventory and Distribution in Madinah, day by day

Madinah's FMCG trade has two rhythms. Around the Central Haram area, demand climbs during Ramadan and the Hajj and Umrah seasons, while growing districts such as Sultanah and Al Aziziyah add new bakalas and supermarkets all year. Distributors often run a depot near Madinah Industrial City and bring some goods up from Yanbu. SalesMake keeps both rhythms in one system: depot stock by batch and expiry, invoices cleared with ZATCA, credit limits on every new outlet, and collections matched daily. Workshops take place in Jeddah, Riyadh or online, with remote support from Bengaluru afterwards.

Nine parts of the Madinah billing cycle

From opening an outlet account to closing its invoices

Outlet onboarding

Outlet onboarding

Add a new bakala with its commercial registration, VAT number, price group and credit terms before the first order.

Invoice type

Invoice type

Each customer record holds its VAT number, so the system knows whether to issue a standard or a simplified invoice.

Depot transfers

Depot transfers

Move stock from Yanbu to the Madinah depot with a transfer note, keeping batch numbers intact along the way.

Expiry rotation

Expiry rotation

Pickers are shown the batch to take, oldest first, so fresh stock is not sent while older stock waits.

Delivery notes

Delivery notes

Each load leaves with delivery notes matched to cleared invoices, and drivers bring back signed copies.

Credit notes

Credit notes

A return, a price dispute or a missed scheme becomes a credit note against the right invoice, not a manual journal.

Overdue view

Overdue view

See balances grouped by how long they have been overdue, for each outlet, route and salesman.

Peak replenishment

Peak replenishment

During the season, central-area outlets can be served on extra routes without changing their price or credit setup.

Month-end close

Month-end close

Sales, returns, stock movements and receipts already sit in the ledger, so closing the month is a review, not a rebuild.

Growth in new districts without losing control

Growth in new districts without losing control

New residential areas in Madinah bring new outlets, and new outlets bring credit risk. A small grocery that pays on time for two months can fall behind in the third. SalesMake sets a limit and term on every account from day one, warns the rep when an order would break it, and shows finance which new accounts are slipping. Growth continues, but on terms you set.

  • Limits applied from the first order
  • Warnings in the rep app before booking
  • Slipping accounts listed for finance
  • Terms reviewed outlet by outlet

Billing and stock rules in Madinah

Madinah distributors follow the national rules: VAT at 15% under ZATCA, and FATOORA e-invoicing introduced in waves. Under phase 2, each invoice is a UBL XML file with a cryptographic stamp and a QR code, B2B invoices need real-time clearance, and simplified invoices must be reported within 24 hours. A business in wave 25, with VAT-subject revenue above SAR 187,500 in any year between 2022 and 2025, has until 1 February 2027 to integrate. SalesMake produces invoices and receipts carrying the Arabic fields ZATCA requires, and treats excise drinks on separate lines.

Customer VAT numbers stored on each account
Standard and simplified invoices told apart
Integration ready ahead of 1 February 2027
Arabic fields included on every tax invoice

Frequently Asked Questions

Where are workshops held for Madinah teams?

Workshops are held in Jeddah, Riyadh or online, whichever suits your staff. Consultants fly in from Bengaluru for in-person sessions, and help afterwards is given remotely.

Can stock move from Yanbu into the Madinah depot?

Yes. A transfer note moves stock between depots, carrying batch numbers and expiry dates with it. The receiving depot confirms quantities, and any shortfall is recorded.

How do we control credit for new outlets in Sultanah?

Each new account gets a limit and payment term before its first order. Reps see the remaining credit in the app, and finance sees new accounts that start to fall behind.

Does SalesMake choose between standard and simplified invoices?

Each customer record holds its VAT number and type, so the system issues a standard tax invoice for clearance or a simplified invoice for reporting. Your team reviews the setting when an account is created.

Can extra routes be added for the central area in peak weeks?

Yes. Temporary routes can be added during Ramadan and the Hajj and Umrah seasons using the same customer records, so prices, schemes and credit terms stay unchanged.

Does the rep app work where mobile coverage is weak?

Yes. The rep app was designed with weak signal in mind. Orders and collections are stored on the phone and synced when coverage returns, so work continues in any district.

What does finance get at month end?

Sales, returns, stock value, receipts and outstanding are already posted to the double-entry ledger. Finance reviews and closes the period instead of rebuilding it from spreadsheets.

Does Symake have an office in Madinah?

No. Symake has no office anywhere in the GCC and works from Bengaluru, India. Consultants fly in for workshops in Jeddah or Riyadh, and other sessions run online.
