FMCG ERP, Billing, Inventory and Distribution in Dubai on credit terms

Most of Dubai's grocery trade is sold on credit. A distributor may supply chains in Downtown and Dubai Marina on monthly terms while dozens of baqalas in Deira and Al Karama settle every week or two. When the outstanding figure lives in a ledger nobody opens before loading, bad debts creep in. SalesMake shows each outlet's balance, overdue amount and limit on the rep's phone at the time of ordering, and again on the billing screen before an invoice prints. Stock leaves the JAFZA or Al Quoz depot batch by batch, and every cash or cheque collection lands against named invoices instead of a loose account balance.

Nine controls for a Dubai billing desk

Invoices, depot stock, delivery and money owed in one view

Order to invoice

Order to invoice

An approved order turns into an invoice with the same lines, prices and schemes, so the billing team keys nothing twice.

Credit holds

Credit holds

Orders from outlets past their limit wait for approval, and the reason for the hold is shown to the rep and to finance.

Ageing view

Ageing view

Outstanding amounts are grouped by age for each outlet, route and rep, so the oldest debts get chased first.

Cheque register

Cheque register

Cheque collections are logged with bank and date, and a bounced cheque reopens the invoices it was meant to settle.

Two-depot stock

Two-depot stock

Run Jebel Ali and Al Quoz stock side by side, with every transfer between them recorded at the moment it happens.

Shelf-life rules

Shelf-life rules

Set a minimum remaining life per chain, and the depot is steered away from batches a buyer would refuse at the door.

Load sheets

Load sheets

Each route gets a load sheet built from its invoices, so the depot picks what was billed and nothing more.

Return credits

Return credits

Damaged or expired returns create a credit note tied to the source invoice and post the stock to a hold location.

VAT summary

VAT summary

Output VAT at 5% is totalled from invoices and credit notes for the period, ready for the finance team to file.

Every dirham owed, tied to the invoice behind it

Dubai distributors often know their total receivable but not which deliveries make it up. In SalesMake each receipt is allocated to invoices, so a partly paid account still shows which drops are open and how old they are. Reps see the same list in the field app before they book the next order at a Jumeirah Village Circle supermarket, and finance can lift a hold with one approval.

  • Partial payments allocated invoice by invoice
  • Overdue lists by rep for each morning
  • Holds lifted with a recorded approval
  • Statements sent from the same ledger

Steps in a Dubai SalesMake rollout

Six stages from first workshop to the first billed route

Workshop

Consultants fly to Dubai and map your depots, routes, credit rules and invoice formats.

Data clean-up

Outlet records, payment terms and product batches are checked before anything is loaded.

Configuration

Credit limits, scheme rules, VAT and dispatch steps are set to match your current policy.

Parallel run

One route is billed in SalesMake and the old way for a short period to compare totals.

Rollout

The remaining routes and depots move across in planned groups, not all on one night.

Remote support

After go-live, help comes from Bengaluru during hours that overlap the UAE working week.

Billing and stock rules in Dubai

Every taxable sale in Dubai carries VAT at 5%, and company profits fall under the 9% corporate tax. From 2027 invoices also go electronic. The Ministry of Finance has set 1 January 2027 as the go-live date for businesses with revenue of AED 50 million or more, while smaller businesses follow on 1 July 2027. Both groups send invoices through an accredited service provider. SalesMake holds each invoice and credit note as structured data, so it can be handed to the provider you choose. Excise applies to some drinks, such as sweetened and energy drinks, and those lines can be kept separate on the invoice.

Invoices and credit notes stored as structured data
Larger businesses switch on 1 January 2027
Smaller businesses switch on 1 July 2027
Excise drinks flagged on their own invoice lines

Frequently Asked Questions

Can we keep separate stock for a Jebel Ali Free Zone depot?

Yes. The free zone depot is a location of its own with its own batches and transfers. You can bill from it directly or move goods to a mainland depot first, and each step is recorded.

How does a rep in Deira know an outlet is over its limit?

The field app shows the outlet's balance, overdue amount and limit before the order is booked. If the account is held, the rep sees why and can tell the owner on the spot.

Do consultants come to Dubai for go-live?

Yes. Consultants fly in for the workshops, the training and the weeks around go-live. Symake does not keep an office in Dubai, and day-to-day support is remote from Bengaluru.

Can one invoice cover several delivery drops?

Most distributors bill each drop separately so returns and disputes stay simple, but a chain can receive a consolidated statement that lists every invoice still open.

What happens when a cheque bounces?

The receipt is reversed, the invoices it covered become open again, and the outlet's balance and credit status update at once so the next order is checked properly.

Is the system ready for UAE e-invoicing?

Invoices and credit notes are already held as structured data. When your go-live date arrives, either 1 January 2027 or 1 July 2027 by revenue, the data passes to your accredited service provider.

Can different chains get different prices for the same pack?

Yes. Price lists can be set per chain, outlet group or channel, and schemes sit on top, so each invoice shows the price that buyer agreed.

Do we need a separate warehouse system?

No. Depot stock, batches, transfers and returns are all part of SalesMake, and every movement posts to the same accounts as the invoice.
