FMCG Distributor Management System in Saudi Arabia through partners

The Kingdom is too large for one distributor to cover well. Brands often appoint partners by region: one around Riyadh, one on the Red Sea coast from Jeddah, one in Dammam and Al Khobar, and others for Makkah, Madinah and newer areas such as the NEOM region. Left alone, each partner sells to chains and bakalas on its own terms. SalesMake lets the brand set prices, schemes and claim rules once and apply them through every partner. Partners keep their own books and stock, and the brand sees sell-out region by region and outlet by outlet, without asking partners for reports.

Running a Kingdom-wide distributor network

What SalesMake gives the brand and its regional partners

Regional partners

Regional partners

Each distributor works in its own company with its own warehouse and team, inside one brand network.

Kingdom price lists

Kingdom price lists

Set channel prices once for the Kingdom, and allow regional differences only where the brand approves them.

Schemes at booking

Schemes at booking

Offers apply automatically when any partner's rep books an order, so a bakala in Dammam and one in Madinah get the same deal.

Bakala credit

Bakala credit

Each outlet has a limit and terms. Orders above the limit are held, and reps see open balances before the call.

Expiry visibility

Expiry visibility

Partner stock is held by lot and expiry date, and the brand sees which regions carry ageing stock of its items.

Returns by region

Returns by region

Returns are booked against invoices with reasons, so the brand can see whether damage or expiry is worse in one region.

Partner claims

Partner claims

Claims are built from scheme lines on real invoices, approved line by line and settled against each partner's balance.

ZATCA invoicing

ZATCA invoicing

Invoices carry a QR code, cryptographic stamp and the Arabic fields ZATCA requires, in UBL XML for phase 2.

Regional dashboards

Regional dashboards

Sell-out, stock cover, scheme cost and overdue balances by region, partner and channel, updated through the day.

Same scheme, same result, in every region

A national offer means little if each partner applies it differently. In SalesMake the scheme is defined once by the brand, with its items, channels, slabs and dates. When a rep in Al Khobar or Jeddah books an order, the system applies it the same way, and the invoice records the cost. The brand's trade marketing team can then compare uptake and cost by region, knowing the rule was the same everywhere.

  • Scheme defined once by the brand
  • Applied identically by every partner
  • Uptake compared region by region
  • Scheme cost traced to invoices

Taking SalesMake to every Saudi region

Region by region, with ZATCA dates in view

Brand setup

Items, channel prices, schemes and claim rules are agreed with the brand in a workshop in Riyadh or Jeddah.

Wave check

Each partner's ZATCA wave and e-invoicing status is confirmed, so go-live dates respect any deadline.

Lead region

One region goes live first, often the partner with the most outlets, to prove the rules on real orders.

Regional waves

Other partners follow region by region, with training on site from visiting consultants or online.

National reporting

The brand's dashboard grows as each partner joins, showing sell-out and claims for the whole Kingdom.

Remote support

Support runs from Bengaluru for the brand and every partner, in hours that overlap the Saudi working week.

Distributors and trade channels in Saudi Arabia

All partners in the Kingdom work under ZATCA. VAT is 15%, and FATOORA phase 2 needs UBL XML, a cryptographic stamp and a QR code on each invoice. B2B invoices, such as those to chains, are cleared in real time, and simplified invoices to bakalas are reported within 24 hours. Partners join phase 2 in waves, and wave 25 takes in those with VAT-subject revenue above SAR 187,500 in any year from 2022 to 2025. Their integration is due by 1 February 2027. SalesMake puts the Arabic fields ZATCA requires on invoices and receipts for every partner, and keeps excise goods on their own lines.

Frequently Asked Questions

We have separate distributors for Riyadh, Jeddah and Dammam. Can one system cover them?

Yes. Each distributor runs as its own company with its own stock and books, while the brand's items, prices, schemes and claim rules are shared across all of them.

How does the brand see bakala sell-out in each region?

Every invoice from a partner to a bakala or chain branch is recorded at outlet level. The brand's dashboard shows sell-out by region, partner, channel and item, updated through the day.

Do partners in different ZATCA waves need different setups?

The invoicing setup is the same. What differs is timing: a partner in wave 25, with VAT-subject revenue above SAR 187,500 in any year from 2022 to 2025, must integrate by 1 February 2027.

How are partners in Makkah supported?

Non-Muslims cannot enter Makkah, so workshops for Makkah partners are held in Jeddah or online. Their reps use the same app and rules as every other region.

Can a partner in the NEOM region use the app on weak networks?

Yes. Reps can book orders and record collections offline, and the app syncs once the network returns. This suits newer areas and long routes between towns.

Can regions have different prices?

If the brand allows it. A regional price list can be added for one partner, with an approval record, while the rest of the Kingdom stays on the national list.

How are claims reviewed when there are many partners?

Each partner's claim is generated from the same scheme rules and invoice lines. The brand reviews them in one place, filters by region and queries single lines instead of whole files.

Where in the Kingdom do Symake consultants hold workshops?

Consultants fly in from Bengaluru for workshops and go-lives, usually in Riyadh, Jeddah or Dammam. Sessions for Makkah partners take place in Jeddah or over video. Symake has no office in Saudi Arabia.
