Where an FMCG Distributor Management System in Dubai pays back

Dubai distributors rarely carry a single brand. One warehouse in Al Quoz or Jebel Ali Free Zone may hold snacks from one principal, beverages from another and home care from a third, each with its own offers running this month. When order takers in Deira and Al Karama work these out on paper, the retailer gets the wrong free goods and the brand rejects the claim. SalesMake stores every scheme with its start date, end date, outlets and products, and applies it the moment an order is saved. The claim builds up as orders are booked, so the distributor knows on any day what each principal owes.

Tools for multi-brand distribution in Dubai

What the order desk, warehouse and accounts team share

Principal Setup

Principal Setup

Each brand you distribute gets its own product list, price list, offers and claim rules, kept apart from the others in reports.

Slab Discounts

Slab Discounts

Quantity bands set by the brand pick the right discount on each line, whether the outlet buys two cases or twenty.

Free Goods

Free Goods

Buy-and-get offers add the free cartons to the order and reduce stock, so the warehouse picks exactly what was promised.

Outlet Groups

Outlet Groups

Chains in Dubai Marina, baqalas in Deira and supermarkets in Dubai Hills sit in groups that decide price and offer eligibility.

Secondary Invoices

Secondary Invoices

Retailer invoices show 5% VAT, any excise on sweetened or energy drinks, and the free goods line clearly for the buyer.

Claim Ledger

Claim Ledger

Each scheme payout is logged against the order that caused it, so the monthly claim to a principal carries its own evidence.

Warehouse Locations

Warehouse Locations

Stock in Al Quoz or Jebel Ali Free Zone is held by location and batch, which speeds up picking and spot counts.

Collections Log

Collections Log

Cash and cheques collected from outlets are matched to open invoices, and the outstanding report updates at once.

Owner Dashboard

Owner Dashboard

Sales by brand, margin after schemes, claims pending and overdue retailers appear on one screen for the owner.

Offers applied once, claimed with proof

A scheme that is easy to announce can be hard to run. The brand promises one free case for every ten, the rep forgets it at three outlets, and the claim at month end does not match the brand's own numbers. In SalesMake the offer is a rule, not a reminder. It fires when the order is saved, it shows on the invoice, and it lands in the claim with the order number beside it. Brand and distributor then argue less and settle sooner.

  • Offer rules with dates, outlets and products
  • Free goods printed on the retailer invoice
  • Claim lines linked to the original order
  • Monthly settlement per principal

How a Dubai distributor works a month

From loading a new offer to closing the claim with the principal

Load Offers

The principal's monthly schemes are entered once, with eligible outlets, products and validity dates.

Book Orders

Order takers in Deira and Al Karama book on the app, and offers apply without any manual sums.

Pick Stock

The Al Quoz warehouse picks paid and free cartons together, using the oldest batches first.

Invoice

Retailer invoices carry 5% VAT and excise where it applies, plus the free goods line.

Track Claims

Payouts gather against each principal through the month, visible on the owner dashboard.

Settle

The claim goes to the brand with order references, and the agreed credit note is posted to the books.

Distributors and trade channels in Dubai

Dubai's trade runs through dense neighbourhoods. Deira and Al Karama are full of baqalas that buy small quantities several times a week, while Downtown, Dubai Marina and Dubai Hills are served by supermarket and hypermarket chains with central buying. Distributors usually keep stock in Al Quoz or in Jebel Ali Free Zone and sell across the emirate and beyond. Every invoice carries 5% VAT, excise applies to some drinks, and corporate tax at 9% means clean books matter. Mandatory e-invoicing begins on 1 January 2027 for firms with revenue of AED 50 million or more and on 1 July 2027 for others.

Frequently Asked Questions

Can SalesMake keep stock in Jebel Ali Free Zone separate from our mainland warehouse?

Yes. Each location is a separate warehouse with its own stock, batches and movements. Transfers between the free zone and mainland are recorded as documents, so you can see what moved, when and why.

We distribute for five principals. Will their reports stay separate?

Each principal has its own products, schemes and claims. Reports can be filtered by principal, so you can share figures with one brand without showing another brand's numbers.

How are excise goods shown on retailer invoices in Dubai?

Products such as sweetened or energy drinks are marked as excise items. The invoice shows the excise and the 5% VAT on separate lines, and the amounts post to their own accounts in the books.

What if a rep books an order without the right offer?

Reps cannot skip the offer. SalesMake applies eligible schemes when the order is saved, based on outlet, product, quantity and date. Supervisors can see each discount and free good that was given.

Can retailers in Deira be put on cash only while chains get credit?

Yes. Credit terms and limits are set per outlet or outlet group. A cash-only baqala will not get an invoice on credit, and a chain over its limit is flagged before the delivery is confirmed.

Which date applies to us for UAE e-invoicing?

If your yearly revenue reaches AED 50 million, your start date is 1 January 2027; below that, it is 1 July 2027. SalesMake keeps invoice data structured, and Symake links it to the accredited provider you choose.

Can we see which retailers stopped ordering?

Yes. Outlet reports show the last order date and the trend for each retailer. A list of outlets that have not ordered within your chosen period helps reps plan their next visits.

Is accounting included or do we need a separate package?

Full double-entry accounting is part of SalesMake. Purchases, retailer sales, claims, collections and expenses post to the ledger, so trial balance, profit and loss and VAT reports come from the same data.
