Where CRM & Property Management in Dubai gets busy

Many Dubai units are bought by investors who live abroad and hand the keys to a manager. A manager might look after studios in Jumeirah Village Circle, a few towers in Dubai Marina and some townhouses in Dubai Hills, each with different owners and fee terms. RealMake treats every unit as its own small account, so rent, Ejari renewal, repair costs and the management fee all land in the right place. When an owner in another time zone asks how their Business Bay flat is doing, the answer is one statement rather than a chain of emails. Owners who bought off-plan can be added at handover, so the move from buyer to landlord happens in the same system.

Practical tools for Dubai unit managers

Built around investor owners and fast tenant turnover

Owner portfolios

Owner portfolios

One owner can hold units across several communities, and RealMake groups them so each payout and report covers the full set.

Ejari tracking

Ejari tracking

Lease records keep the Ejari number and expiry, and the team gets a task to renew registration when a contract is extended.

Cheque calendar

Cheque calendar

A calendar shows every post-dated cheque due this week, by bank and building, so deposits are made on the right day.

Service charge billing

Service charge billing

Community charges are allocated to each unit and recovered from the owner, with reminders when a due date is close.

Maintenance desk

Maintenance desk

Jobs come in by phone, email or tenant request, then move from assigned to done with costs logged against the unit.

Fee rules

Fee rules

Management fees can be a fixed amount or a share of rent per owner, and RealMake applies the agreed rule every month.

Tenant onboarding

Tenant onboarding

Move-in documents, deposit receipt, key handover and meter readings are captured on one checklist per unit.

Notice tracking

Notice tracking

Renewal and vacating notices are logged with the date sent and the method, so you can show when the tenant was told.

Portfolio dashboard

Portfolio dashboard

Occupancy, overdue rent and open repairs show by community, giving managers a quick view each morning.

One statement your overseas owners can follow

Owners abroad usually want three things: proof the rent arrived, a list of what was spent, and the date money reaches their account. RealMake builds that statement from the lease, the cheque deposits and the repair costs you already recorded. Managers check the draft, attach invoices if needed and send it. The same figures feed your own fee income, so both sides see one set of numbers.

  • Rent received shown by cheque and date
  • Repair and service costs listed with invoices
  • Management fee worked out from owner terms
  • Payout date and amount on every statement

How a Dubai rollout usually runs

From the first workshop to the first month-end statement

Portfolio review

We list your communities, owners, fee terms and current lease files during a workshop at your Dubai office.

Data cleanup

Unit numbers, owner names and Ejari references are checked so the import matches what is on the ground.

Configuration

Fee rules, service charge splits, cheque handling and approval steps are set up to match how you work today.

Pilot building

One building or community goes live first, so your team can test the full cycle before the rest moves.

Team training

Leasing, accounts and maintenance users are trained in English, on site and in shorter online sessions.

Full go-live

Remaining units move across and remote support stays close through the first owner statement run.

Leasing and owner care in Dubai

Dubai Land Department (DLD) and its regulator RERA oversee the market, and every tenancy contract is registered on Ejari. RealMake keeps the Ejari number on the lease and creates a task when a renewal needs a fresh registration. For units sold off-plan, the Oqood record belongs to the sales side, but the owner can be carried into property management at handover without retyping. VAT is 5% in the UAE, and charges you flag as taxable carry VAT on the bill. Businesses with revenue of AED 50 million or more go live on e-invoicing on 1 January 2027, and others on 1 July 2027.

Frequently Asked Questions

Can RealMake handle owners who live outside the UAE?

Yes. Owner records hold overseas addresses, bank details and preferred currency notes. Statements are sent by email or shared through the owner view, so distance does not slow the monthly report.

How does the system keep track of Ejari renewals in Dubai?

Each lease shows its Ejari number and expiry. When a renewal is agreed, RealMake raises a task to update the registration and keeps the new reference on the renewed lease once your team enters it.

Can we bill community service charges back to owners?

Yes. You enter the service charge per building or community, RealMake splits it across units by the rule you choose, and the amount appears on each owner's ledger and statement.

Does it work for short notice move-outs in Dubai Marina towers?

When a tenant gives notice, staff record the date and method. The unit moves to a vacating status, a move-out inspection is scheduled and the vacancy shows on the board for the leasing team.

What if a management fee differs by owner?

Fee terms are set per owner or per unit. One owner might pay a fixed monthly amount and another a share of collected rent, and RealMake applies each rule when it builds the statement.

Can new owners from an off-plan handover be added quickly?

If your sales team already uses RealMake, the buyer record becomes an owner record at handover. If not, owners and units can be imported from a sheet during setup.

Where is Symake's team?

Symake is based in Bengaluru, India. Consultants travel to Dubai for workshops, training and go-live, and day-to-day support is handled remotely during hours that overlap the UAE working day.

Can tenants raise repair requests themselves?

Tenants can send requests that create a job in the maintenance desk. Your coordinator assigns it, the contractor updates progress, and the tenant gets a note when the work is closed.
